Surgery Request & Scheduling
When the surgeon decides that patient requires a surgery, the Surgery Request information needs to be filled out in the system. It captures details such as Surgeon(s) involved, Procedures to be performed and Insurance data. If the patient has already visited the facility, this information is picked up from the system thereby saving valuable time.

- Time of arrival of the patient, time at which the patient was moved into the OR and time at which anesthesia was started
- Details of Anesthetist and staff involved in the surgery
- Details of additional procedures performed during the surgery
- Time at which the surgery was completed
- Bed information, if the patient is under post-surgical care
- Patient discharge details
Preference Card
The preference card master captures the following information:
- Surgeon/Procedure
- OR Time, Anesthesia Time and Turn Over time
- Checklists and Investigations
- Detailed instructions for Surgeon-specific preferences for room setup, prep and position
- Inventory items, including drugs and intra-op items
- Equipment and Instruments
Special features include:
- Replacement of an item surgeon specific preference cards
- Facility to internally review preference cards and approve them
- Facility to activate/deactivate preference
Electronic White Board
The Electronic White Board ensures that the current status of the patient is displayed in real time. The patient is tracked through pre-surgery, surgery and post-surgical care, and the electronic white board is updated automatically.
Among other details, it displays:
- Staff assigned to various cases
- Special requirements for equipment, material and manpower
- As many OR rooms as required (applicable to Multiple OR complexes ), and is updated at a predefined frequency
Charging
Consists of a comprehensive charging routine, which sends all the supplies and charges to the billing system. Charging is performed by exception.
The system:
- Provides easy methods to select additional items that were not part of the initial case cart or pick list
- Ensures that all supplies used for surgical procedures are captured and charged for
- Provides details of charging through comprehensive reports
- Visually displays the status of charging for every case
- Seamlessly integrates to Copernicus Billing System
- Provides connectivity to third party systems via standard HL7 interfaces
Patient Master Index
Patient Master Index captures all demographical information of the patient including insurance data.
Information captured include:
- Patient Name & Residential Address
- Details of Anesthetist and staff involved in the surgery
- Emergency Contact Address
- Billing Address
- Demographics such as Religion, Race & Residential status etc
- Insurance policy details including pre-cert data (Multiple policies can be defined for every patient)
- Guarantor data (if other than patient)
HL7 Interface
The HL7 engine works as a standalone application generating HL7 messages from the data generated by Copernicus and sending them to the receiving applications.
Applicable messages for the ORS system include:
- Admit/Discharge/Transfer (ADT)
- Billing
- Staff/Doctor Master
